 Assignment 2 - Formatting Text

Opening an existing file.
Download the following document and save it to your pc.  Brochure 03.doc
Once it is saved go to the folder containing the document and open it with word.

Formatting Text using the toolbar
You can bold, underline, or italicize when using Word. You also can combine these features -- in other words, you can bold, underline, and italicize a single piece of text. In the exercise that follows, you will learn three different methods for bolding, italicizing, or underlining when using Word. You will learn to bold, italicize, or underline by using the menu, an icon, or the keys.
Select the heading line, Contoso, Ltd Network.
On the Formatting toolbar click the Bold button and click the Italic . The title now appears bold and italic. 
Alternate Method -- Bold by Using the Keys
Once the line is selected press Ctrl-b (hold down the Ctrl key while pressing b).
Note: To turn off Bold, press Ctrl-b again. You can also remove formatting by pressing Ctrl-spacebar.
It works the same for italics except press the "I" key with Ctrl
Note: To toggle Italic off, press Ctrl-i again. You can also remove formatting by pressing Ctrl-spacebar.

You can underline when using Word.   Double click on the last word in the heading , "Network", to select it.  Now on the Formatting toolbar, click the Underline button .  Click anywhere so that the text is no longer selected and you will notice the word Network is underlined.
Alternate Method -- Underline by Using the Keys
Press Ctrl-u (hold down the Ctrl key while pressing u). You will get a single underline.
Note: To turn off underlining, press Ctrl-u again.

Changing fonts and font sizes
In Microsoft Word, you can change the size of your font (text). The following exercise illustrates changing the font size.

First triple click in the area of the document to the left of the text.  If you clicked in the right area the entire document should be selected.   Change Font Size by Using the Toolbar
On the formatting toolbar click the Font Size down arrow a list of font sizes appears.  Choose 10 and see the effect on your text.  Then choose 14, as the text enlarges or shrinks the text reformats to fit a printed page. You can select 1/2 point increments by typing the desired size right in the size window. Before de-selecting the text click in the font size window and type 10.5 then hit enter. 

In Microsoft Word, you can change the font (the "family" of type you use for your text).
Again be sure all the text in the document is selected.

Click the down arrow to open the Font pull-down menu on the Formatting toolbar.   Choose any font you think would best present a document to publicize the services of the public relations firm Contoso, Ltd. (other than Times New Roman or Arial)

Saving the file
After completing the assignment you need to save your changed document.  Save As changing the file name by adding "edited" to it. The new name should be "Brochure 03 Edited"
Now keep the file open for the next part of this assignment.

Applying  Character Effects to Text
Select the first heading line, "Contoso, Ltd Network"
On the Formatting toolbar click the Center button .  The heading line moved to the center of the printed page.

Now, click anywhere in the first paragraph.  Then on the Formatting toolbar click the Align Right button . The paragraph moves to the right margin.
Now on the Formatting toolbar click the Align Left button . The paragraph moves to the left margin.   On the Formatting toolbar click the Justify button . The lines of the paragraph now extend to both the left and right margins, except for the last line, which doesn't extend all the way to the right margin because it is shorter than the other lines.
Now on the Formatting toolbar click the Align Left button to return the text to its original alignment.

Rearranging Text Within a Document
You should still have Brochure 03 Edited open, 
download the following document and save it to your pc. Memorandum 03.doc
Once it is saved go to the folder containing the document and open it with word. You should now have two files open.
Select the main paragraph of the memo.  On the Standard toolbar, click the Copy icon .
Close the Memorandum document. Now scroll to the end of the Brochure document after the word "Photography".  Press "Enter" two times.
Now on the standard toolbar click the Paste button.

Click on any paragraph of your brochure, then click the Format Painter button then go back and click on the paragraph you just pasted.  Your chose of font and text size was not just transferred to the new paragraph.


Save your file but keep it open for the next part.

Okay,  now select the 4th paragraph, which begins with "For more information", click the Cut button on the Standard toolbar and press Delete to remove the extra blank line.
Click on the blank line  below the word "Photography" the last item in the list of services).  Press Enter to add a blank line.  Now click the Paste button.

Using Drag and Drop
Click on the selection area to the left of the word "Photography" to select the entire line.  Put the mouse pointer over the selected text, and press and hold the left mouse button.  (A dotted rectangle  and a dotted line appear near the mouse pointer.)
Drag the text by moving the mouse until the line is directly in front of the "N" in "News Releases" at the top of the list of services.
Release the mouse button to complete the move.
Save the file again not to lose your work.

You should still have Brochure 03 Edited open,  download the following document and save it to your pc. Logo 03.doc
Once it is saved go to the folder containing the document and open it with word. You should now have two files open

View the Logo document and click on the WordArt object. On the Standard toolbar, click the Copy icon .
Close the document. Go to the Brochure document and click in fornt of the "C" in the heading .  Press enter 10 times. Click at the top of the docuemnt to position the insertion point.  Click Paste

Double click in the selection area next to the last paragraph of the brochure document that begins with "In addition to the network"
Click Cut
Scroll down and click the blank line above the second heading, "Constoso, Ltd Service" and then press enter to insert a new line.
Click Paste

Save the Brochure 03 Edited document.

Using Styles

Scroll down and click anywhere in the word in the list of services  "Photography". On the Formatting toolbar, click the Style down arrow, and click Heading 3.
The word "Photography" now looks different .  Select the remaining list items, click the Style down arrow and click Heading 3

In the last paragraph of the document, select the words "For more information". Once again change the style to Heading 3.  You will notice only those words changed not the entire paragraph.  Styles can be applied to letters, words, paragraphs, or entire documents.

Save the Brochure 03 Edited document again

Now email the file as an attachment to me.
